Hi, I’m Allie, our AI-powered, training personality.
Communication is an essential part of any functioning business. Every day, businesses communicate, both internally – within the organisation and externally with clients and suppliers. With so many messages sent back and forth across various platforms, it can be hard to keep track of them all! Well, Web Geeks marketing platform, allows you to consolidate all of your messages in one place. Today we are going to show you, how to take advantage of this very useful feature!
Let’s get started!
So first we need to navigate over to conversations in the left-hand sidebar. Here you will find your messaging hub! On the left-hand side of the screen, you will see all of your current conversations, with new messages appearing at the top, just like any other email or phone service. On the right-hand side, you will see details about the contact you are talking to. For this demonstration, I am going to have a conversation with myself, something I do more than I would like to admit.
Let’s start by sending an email. For this, we need to go to the top of the left-hand column. And click on “create new message”. This will prompt you to select a contact. However, you can also create a new contact from here if the contact does not yet exist, by typing in an email address or phone number. If I were to type in “example@example.com” it will bring up the option, for me to create a contact just underneath. However, for now, I am going to send a message to an existing contact. So if I type in “Allie” my contact entry will pop up, and all I need to do is click on it, and click continue.
As you can see, this has opened up a conversation panel for my contact. At the bottom of the middle window, you will see we now have the option to communicate with the contact by both SMS and Email, both of these options are available for any contact that has both the phone number and email address. If you were to only have one of these entered for the contact you could only communicate one of the two ways.
So let’s click on “send email” This will bring up the email editor. As you can see, it has the same functions as any standard email editor and allows you to do all the same things a normal editor would do. Such as attach files, and insert pictures etc. However, it also gives you the opportunity to use email templatesand request payments, but those are topics that will be covered in another video. So, I’ll just add in, a subject here, “test” and some text in here, “test” and send my email. Once it is sent, you will see the email in the area above. Any conversations you have from this point on, with this contact, will be viewable in this window when you click on the conversation on the left, be they email or SMS. And it’s as simple as that. If the contact replies, it will also be visible in the conversation stream.
So now, let’s send an SMS to the contact. Just so you are aware, this function is only available if you have already set up your Web Geeks phone number. So, all we have to do, is click on the SMS option here, to send our text message. Again, the editor is just the same as any phone, it allows you to attach pictures and add emoticons . The only difference, much like the email editor, is that it also allows you to use SMS templates, and request payments from your customers. So I’ll just type in my text here, “test”. Then all we have to do is click send. And as you can see, the message appears right below the previous messages we have sent.
And that’s all there is to it! Now you can spend less time switching between your phone and email to view your messages. You can also keep all of your conversations with each person all in one place, making sure, you don’t miss a thing. And if you are on the go, you can also do all of this from the lead generator app. Now that’s efficiency!
